STUDENT INFORMATION SYSTEMS COORDINATOR

NATURE OF WORK 

Performs intermediate skilled technical work maintaining the student information management system (Infinite Campus) to include student's demographic, attendance, discipline and testing data, assist with establishing master schedules, scheduling, and related work as apparent or assigned. Work is performed under the limited supervision of Technology and Accountability. Work at this level requires a substantial knowledge of student accounting procedures and regulations, source data, and the functionality of the student information system in order to support school operations and to generate federal, state, and local electronic files effectively. The employee must communicate with a wide variety of groups including students, teachers, principals, counselors, central office staff, parents, governmental agencies, and institutions of higher education. The employee must possess a high level of decision-making skills in working with diverse groups and dealing with the complexity of work found in scheduling and maintaining within a School.

 

ILLUSTRATIVE EXAMPLES OF WORK 

• Provides leadership for school based Data Managers and serves as the primary liaison between the school level data managers and SCS Central Office Departments
• Effectively communicates with all SCS departments and schools regarding any and all Student Information initiatives and requirements
• Monitors the daily, monthly and annual schedule of events related to student data (class/student scheduling, release of report cards, student registration, student assignment, etc.) to ensure the smooth operation of the technology components of these activities
• Provides training to school based data managers as required and oversees training efforts required to implement existing or new Student Information initiatives
• Assists in scheduling and coordinating the transfer of student information initiatives
• Assists in scheduling and coordinating the transfer of student information and other electronic files from the PSU to DPI and ensuring districts compliance with reporting requirements
• Assists school-based personnel in implementing standards and operating procedures established for management of student data
• Collects data from individual school sites, consolidates and creates summary report and assists with customized reports for local school needs.
• Uses common software packages such as word processing and spreadsheets to produce additional reports
• Provides first-level support to all school-based personnel in the use of computerized student information management system, handles complex system errors or malfunctions, and provides expertise in non-routine situations
• Provides assistance in all areas of student information, developing attendance reporting formats, grade reporting, registration and scheduling, discipline reporting, etc.
• Works directly with teachers to provide general information regarding electronic gradebook system, including assisting with training
• Troubleshoots operational and software problems, determines cause of error or stoppage, applies corrective techniques in cases where the problem is software related or refers problem to technical support staff
• Provides assistance to users with the utilization of available hardware and software
• Assists in establishing and enforcing standards, policies and procedures for the student information management system and coordinates user security with district personnel
• Assist in exporting, printing and distributing online student test data to schools and maintaining test data records
• Performs other duties and responsibilities as assigned by supervisor
• Configures and supports outsourced programs that interface with student information system
• Attends conferences and classes to develop and maintain knowledge of database management and the student information system

• Ability to work with a high degree of accuracy while complying with the confidentiality requirements in local, state, and federal policies and statutes. 
• Excellent oral and written communication skills
• Ability to train and communicate objectives with all stakeholders.
• Strong knowledge of computers, various operating systems, Excel is a must, as well as word processing software, spreadsheets, and databases
• Knowledge of student accounting procedures and regulations
• Ability to independently exercise judgment in selecting and implementing procedures and analyzing data
• Ability to troubleshoot

 

SUGGESTED TRAINING AND EXPERIENCE

 

• Associate’s Degree preferred or equivalent combination of education, training, and experience.
• 3+ years’ experience in the use of the NC Student Information System
